Workiz + After Hours Virtual Receptionist

What it does

When Amelia saves a caller as a lead, or books a job, our server creates a lead in your Workiz account right away. Your dispatcher sees it in Workiz → Leads with the caller's name, phone, what they asked for, and your Job Type and Job Source. Nothing to copy by hand.

Set it up

   Get your API token and secret from Workiz

   1. Log in to Workiz on a computer.
   2. Click your profile icon (top right), then Settings.
   3. Under Integrations, click Developer.
   4. Click the v1 tab.
   5. Click Generate API Credentials. (If the button is missing, turn on the Developer API in the Workiz Feature Center first, or ask Workiz support.)
   6. You will see an API Token and an API Secret. Use the copy icons. Keep this tab open.

   Paste them into your AHVR dashboard

   1. Log in at afterhoursvirtualreceptionist.com/dashboard.
   2. Click Settings, then API & integrations.
   3. Scroll to the Workiz card.
   4. Paste the API Token in the first box and the API Secret in the second box.
   5. Click Connect Workiz. The card now says Connected with the last 4 characters of your token. We never show the full token again.

   Pick what goes to Workiz

   1. New leads is checked. Every time Amelia saves a caller's name and number, a lead is made in Workiz.
   2. Bookings is checked too. Every booking or urgent message Amelia takes also goes to Workiz. Uncheck it if you only want leads.
   3. A booking becomes: pick a Workiz lead (your team converts it) or a scheduled Workiz job (a one-hour slot at the time the caller asked for).
   4. Job Type: type the job type exactly as it is spelled in Workiz (Workiz → Settings → Job Settings → Job Types). You can leave it blank for leads; fill it in if bookings become jobs.
   5. Job Source: this is how the lead is labeled in Workiz. It starts as After Hours Virtual Receptionist. Change it if you track sources another way.
   6. Click Save settings.

   Send a test lead

   1. Click Send a test lead.
   2. Within a few seconds the card says whether Workiz accepted it.
   3. Open Workiz → Leads. You will see a lead named TEST – AHVR connection check with a 555 phone number. Delete it when you are done.
   4. If it failed, the card shows the reason. The most common fix is to copy the token and secret again, then click Replace credentials.
